4. Why we process your data and on what legal basis

We process personal data on the following grounds (Article 6 GDPR):

  • To take steps prior to entering into a contract — for example to match candidates with vacancies, assess suitability, and contact you about opportunities.
  • To perform a contract — for the employment or assignment contract with placed workers and the service contract with clients, including payroll, invoicing and administration.
  • To comply with a legal obligation — for example tax law, social security law, the Dutch Placement of Personnel by Intermediaries Act (Waadi), and the obligation to verify identity (Wet op de identificatieplicht).
  • With your consent — for example to keep your CV in our database for longer than four weeks after we last had contact. You can withdraw this consent at any time.
  • Legitimate interest — for example to improve our services, secure our systems, and handle complaints.

5. How long we keep your data

  • Candidate data (not placed): up to 4 weeks after our last contact. With your explicit consent, up to 1 year.
  • Placed workers — general personnel file: up to 2 years after the end of the assignment.
  • Placed workers — payroll and tax data: 7 years after the end of the assignment, as required by Dutch tax law.
  • Copy of ID and BSN: 5 years after the end of the calendar year in which the assignment ended.
  • Client data: for the duration of the relationship and up to 7 years after the last invoice.
  • Contact form messages: up to 1 year, unless they lead to an active candidate or client relationship.

6. Who we share your data with

We only share your personal data with third parties when necessary for our services or to comply with the law. These may include:

  • Clients (hiring companies) — we share relevant candidate information so they can decide on a placement. We do not share your data with clients without your knowledge.
  • Payroll, accounting and pension providers — for placed workers, to process salary, taxes and pension.
  • Government authorities — such as the Dutch Tax Authority (Belastingdienst), UWV, and pension funds, where required by law.
  • IT and hosting providers — such as our website host (Hostinger) and our email and form providers, who process data on our behalf under a data processing agreement.

We do not sell your personal data to third parties. We do not transfer your data outside the European Economic Area (EEA) unless adequate safeguards are in place as required by the GDPR.

7. How we protect your data

We take appropriate technical and organisational measures to protect your personal data against loss, unauthorised access, and misuse. These measures include access controls, secure connections (TLS/SSL), and agreements with the parties that process data on our behalf. Access to personal data within B-Ready is limited to employees who need it to do their work.

8. Your rights

Under the GDPR you have the following rights regarding your personal data:

  • Right of access — to know what data we hold about you.
  • Right to rectification — to correct inaccurate or incomplete data.
  • Right to erasure — to have your data deleted, where applicable.
